How to Add Alt Text in Word

Adding alt text to images in Word is an important step in making your documents accessible to people with visual impairments. Alt text, short for “alternative text,” is a brief description of an image that is read aloud by a screen reader for people who are blind or have low vision. In this article, we will explain how to add alt text in Word.

Step 1: Select the image you want to add alt text to. Right-click on the image and choose “Format Picture” from the drop-down menu. Alternatively, you can select the image and go to the “Format” tab in the ribbon.

Step 2: In the “Format Picture” pane that appears on the right side of the screen, click on the “Alt Text” tab. Here you will see a text box where you can add a brief description of the image. It is recommended to keep the alt text to 125 characters or less.

Step 3: Add your alt text in the text box. Make sure your description accurately conveys the meaning of the image. Avoid using phrases like “image of” or “picture of” in your alt text. Instead, describe what the image depicts, such as “a woman typing on a laptop.”

Step 4: Click “Close” to save your alt text. You can hover over the image to see a tooltip of the alt text you added. If you need to edit the alt text later, simply select the image and go back to the “Alt Text” tab in the “Format Picture” pane.
